Taking a Customer’s Order

1) Confirm a website package with customer.

2) Create Customer and Order in Gogiro Management System
Login to Gogio Management system and start building the order. This step will help you keep organized and have all your clients order info at your fingertips.
IMPORTANT – only SAVE the order at this point, and add items as you collect them from the customer. When you are ready, then you can SUBMIT the order to production.

3) Important Considerations: Domain Name, Existing Site / Emails
Domains:
Do they have a domain name? If yes, do they have access to login and change the DNS Settings?
If not, what Domain name do they want? Check if the name they want is available, you can do this by logging into the Gogiro site / Enom. Register domain name after you have their Credit Card info.
Existing Website:
If the client has an existing domain and website and are having Gogiro make a new website, please ensure the clients emails are considered:
- Ensure clients emails accounts are setup in the new Gogiro cPanel prior to transferring their DNS settings to Gogiro
- If client has existing emails on their ‘old’ website server, any emails that are not downloaded into Microsoft Outlook, Outlook Express, or similar (ie. Webmail) will be lost upon transferring to the new Gogiro website server. Please have clients setup their emails in Outlook to avoid this.
- If you have access to clients old mail server, prior to switching domain to new Gogiro server, please forward all clients emails to a third party email address

4) Collect Billing Info.
At this point we highly recommend to have the client pay for all set-up charges (deposit). For platform fee, if paying by cheque, consider billing 6 months or 12 months upfront. You can consider offering a free month if they pay for one year up front, eg $275 instead of $300 if paying by cheque or credit card.

5) Decide on some basic page names
Home page (index.html) plus additional pages. If they want more pages in addition to the amount included in their package, it’s ok but Gogiro will charge for additional pages. Decide which pages will include Gogiro Apps. Home page is highly recommended.

6) Talk about extra services & products that may be suitable
Talk about the extra stuff they would like; traffic builders, seo, photo gallery / plugins, etc.. Do not need to sell them yet, but put the ideas in their mind so they can start thinking about it.

7) Collect info: logo, pics, content, contact info
Just do a general collection of whatever info they have at this point, including logo, photos, and content and emails required. Material required will depend on the website package choosen. The content will be further organized after you get a chance to submit to production, speak to the Project Manager, and confirm on the sitemap. The emails will be setup after the website is online, but a good idea to think about this at this stage so that they can be used on the website.

If they don’t have any photos:
1. Take your camera and charge them for your time to take pics eg $25 hour
2. Get pics from iStock charge them accordingly

3 Ways To Get Content
1. They provide content.
2. Have them send you brochures, etc and you tell them you can pull it together for them for a small fee eg. $50 or $100
3. We can suggest a professional copywriter, we would refer; and they would pay the copywriter directly.
4. If they have no idea, do a search for similar business that offers the same services in another city and copy – paste and edit where needed. Also consider charging $50 for this.

8) Start PROVISIONING PROCESS for your type of website package
The website basic and pro have different provisioning processes. Please see which one.

 

Submitting a Customer’s Order

[Helpful hint]: Should bill the whole set up fee before sending us the order.

1) Submit Completed Order to production

Login to Gogio Enter Order into Gogiro.com in your regional login, and SUBMIT the order to production along with any notes. If the order includes many large photos, feel free to email the photos and order number to production@gogiro.com

2) Order is received
Production will receive the order, assign it to someone and update the order status. You should get an email from that person when they have started on the website, they may have some question that need answering. If you don’t receive an email or a status update within 2 days, please contact production.

3) Completed Website Built

When website is completed, and approved by you, production will send you login information to access editors, emails, etc.. The finalized website is uploaded to ‘live’ server, order status marked ‘active’, and the Cloud Login system is configure to allow for editing.

If customer has an existing Domain name, or is replacing their old site with this new Gogiro site, client will need to login and change their DNS Settings to:

Primary Name Server: ns1.gogiro.net
Secondary Name Server: ns2.gogiro.net

4) Google Apps Setup

Consider Customers existing Email accounts:
If the client has an existing domain and website and are having Gogiro make a new website, please ensure the clients emails are considered:

Completed Customer’s Order

1) Once website is up:

When website is done, Give user name and password to customer so they can edit their site, setup emails, etc… Send customer Instructions for Cloud Platform.

Login to the Gogiro Management System and make sure to update the order to “Active” stage so that the customer will have full access to the website and Web Apps.  Walk customer through client login and show them how to edit their website.

2) Send Invoice.
When your customer is happy with their website, ask for a Referral.

Help your customer in the future by showing them how to log in and edit. Or you can edit for them and charge them yourself eg $50 hr.

3) Client Retention, and referrals:

Contact them in the future for SEO and Traffic Builder.

When your client is happy with their website, ask for a Referral.
Consider offering a free month eg for a Referral or better yet, a discount on an SEO or Traffic Builder. Mention the advantages of SEO and Traffic Builders.

Our clients will usually purchase more than one product from us. A happy client will be a life long customer with Gogiro. Offer them our new products as they come out. Listen to their suggestions for future products.
