Step-by-step

Taking a Customer’s Order

1) Confirm a website package with customer.

Gogiro is available to help you through the sales process

2) Create Customer and Order in Gogiro Management System
Login to Gogio Management system and start building the order. This step will help you keep organized and have all your clients order info at your fingertips.
IMPORTANT – only SAVE the order at this point, and add items as you collect them from the customer. When you are ready, then you can SUBMIT the order to production.

3) Important Considerations: Domain Name, Existing Site / Emails
Domains:
Do they have a domain name? If yes, do they have access to login and change the DNS Settings?
If not, what Domain name do they want? Check if the name they want is available, you can do this by logging into the Gogiro site / Enom. Register domain name after you have their Credit Card info.
Existing Website:
If the client has an existing domain and website and are having Gogiro make a new website, please ensure the clients emails are considered:
- Ensure clients emails accounts are setup in the new Gogiro cPanel prior to transferring their DNS settings to Gogiro
- If client has existing emails on their ‘old’ website server, any emails that are not downloaded into Microsoft Outlook, Outlook Express, or similar (ie. Webmail) will be lost upon transferring to the new Gogiro website server. Please have clients setup their emails in Outlook to avoid this.
- If you have access to clients old mail server, prior to switching domain to new Gogiro server, please forward all clients emails to a third party email address

4) Collect Billing Info.
At this point we highly recommend to have the client pay for all set-up charges (deposit). For platform fee, if paying by cheque, consider billing 6 months or 12 months upfront. You can consider offering a free month if they pay for one year up front, eg $275 instead of $300 if paying by cheque or credit card.

5) Decide on some basic page names
Home page (index.html) plus additional pages. If they want more pages in addition to the amount included in their package, it’s ok but Gogiro will charge for additional pages. Decide which pages will include Gogiro Apps. Home page is highly recommended.

6) Talk about extra services & products that may be suitable
Talk about the extra stuff they would like; traffic builders, seo, photo gallery / plugins, etc.. Do not need to sell them yet, but put the ideas in their mind so they can start thinking about it.

7) Collect info: logo, pics, content, contact info
Just do a general collection of whatever info they have at this point, including logo, photos, and content and emails required. Material required will depend on the website package choosen. The content will be further organized after you get a chance to submit to production, speak to the Project Manager, and confirm on the sitemap. The emails will be setup after the website is online, but a good idea to think about this at this stage so that they can be used on the website.

If they don’t have any photos:
1. Take your camera and charge them for your time to take pics eg $25 hour
2. Get pics from iStock charge them accordingly

3 Ways To Get Content
1. They provide content.
2. Have them send you brochures, etc and you tell them you can pull it together for them for a small fee eg. $50 or $100
3. We can suggest a professional copywriter, we would refer; and they would pay the copywriter directly.
4. If they have no idea, do a search for similar business that offers the same services in another city and copy – paste and edit where needed. Also consider charging $50 for this.

8) Start PROVISIONING PROCESS for your type of website package
The website basic and pro have different provisioning processes. Please see which one.

 

Submitting a Customer’s Order

[Helpful hint]: Should bill the whole set up fee before sending us the order.

1) Submit Completed Order to production

Login to Gogio Enter Order into Gogiro.com in your regional login, and SUBMIT the order to production along with any notes. If the order includes many large photos, feel free to email the photos and order number to production@gogiro.com

2) Order is received
Production will receive the order, assign it to someone and update the order status. You should get an email from that person when they have started on the website, they may have some question that need answering. If you don’t receive an email or a status update within 2 days, please contact production.

3) Completed Website Built

When website is completed, and approved by you, production will send you login information to access editors, emails, etc.. The finalized website is uploaded to ‘live’ server, order status marked ‘active’, and the Cloud Login system is configure to allow for editing.

If customer has an existing Domain name, or is replacing their old site with this new Gogiro site, client will need to login and change their DNS Settings to:

Primary Name Server: ns1.gogiro.net
Secondary Name Server: ns2.gogiro.net

4) Google Apps Setup

Consider Customers existing Email accounts:
If the client has an existing domain and website and are having Gogiro make a new website, please ensure the clients emails are considered:

Completed Customer’s Order

1) Once website is up:

When website is done, Give user name and password to customer so they can edit their site, setup emails, etc… Send customer Instructions for Cloud Platform.

Login to the Gogiro Management System and make sure to update the order to “Active” stage so that the customer will have full access to the website and Web Apps.  Walk customer through client login and show them how to edit their website.

2) Send Invoice.
When your customer is happy with their website, ask for a Referral.

Help your customer in the future by showing them how to log in and edit. Or you can edit for them and charge them yourself eg $50 hr.

3) Client Retention, and referrals:

Contact them in the future for SEO and Traffic Builder.

When your client is happy with their website, ask for a Referral.
Consider offering a free month eg for a Referral or better yet, a discount on an SEO or Traffic Builder. Mention the advantages of SEO and Traffic Builders.

Our clients will usually purchase more than one product from us. A happy client will be a life long customer with Gogiro. Offer them our new products as they come out. Listen to their suggestions for future products.

Website Basic Process

WEBSITE BASIC PROCESS:



1) Confirm with client the Website BASIC package. Mention SEO and Traffic Builder tools

2) Region gathers basic information, including selected template, logo, pages, photo, any special requests

3) Create the order, and email in to production what you have for photos / logos - production@gogiro.com, with order # in heading.

4) Phone Call – Project Manager will review order material and will setup a time with you for a phone call to discuss the project. Project Manager will confirm site map, template, and special requests with Region / Client

5) Production team will build out order. Might be some basic back and forth regarding photos, pages, etc.. with the region/client directly.  NOTE: **Gogiro is building software that will enable this stage, w/ direct client communication**

6) When the site is 100% ready, production will send to region/client for final review  NOTE: **We’re building software that will enable this stage, w/ direct client communication**

7) Project Manager will make site live and provide editor link for Region / client if site looks good. Any revisions or follow on work would be billed at hourly rate.



NOTE: Please send all website related emails to production@gogiro.com with the order number, as this email will be used for all production related stuff.

Gogiro Websites are built specifically to interact with the Gogiro Web Apps Platform.

 

Website Basic

This is for a Gogiro website based on a selected template, where the website does not include customizations to the design elements of the template or content design. The website is integrated into the Gogiro Web Apps Platform.

This is for a Gogiro website based on a selected template, where the website includes customizations to the design elements of the template, extra pages, and integration into the Gogiro Web Apps Platform.

Following is a better defined policy to what is included, what is extra, and what is not provided for by Gogiro through its website offering.

 

BASIC WEBSITE NOTES:

1) A basic 3-page websites, where customers can select if the page is a;

Basic Page: A standard, editable page

Blog Type: A ‘post’ of various pages, this can be setup in a way where customers can easily add product pages (individual blog posts), or be used as a traditional blog.

Gallery: Customers can upload photos

Portfolio: Similar to a gallery, but with text captions and each item links to it’s own page

Contact: A basic form with no more than 10 fields, and a Google map if requested

In the ordering system, I’ve given the Regions an option to add up to 2 extra pages during the time of setup for no extra charge. These would only be basic pages and we will link the navigation bar in the website with the extra pages. IF the requests to configure is made later we will charge extra at that point.

2) And idea is to promote the product as a ‘we’ll set it up, you enter your content’ type website. I think this is very reasonable, and I’m going to make sure none of our marketing material conflicts with that.

3) I have our Content Generation services coming out next as an option for everyone, I’ll have more details next week about that.

 

What is included with the Basic Package:

Ordering Requirements:

Gogiro will only build websites to be hosted on the Gogiro Web App’s Platform. Websites will not be built to be hosted on other platforms, or for regular Gogiro Hosting (old Product). [/list]

 

IMPORTANT NOTES, TERMS AND CONDITIONS

[list style="unordered" type="type10"] Website orders will be completed within 1 week from receiving complete order from Regional office with all corresponding materials, may take longer if extra is requested or required to build the site Website remains property of Gogiro Corporate at all times, should a subscription cancel, the website files will not be transferred, and maybe destroyed at the discretion of Gogiro Corporate. Gogiro will enter all content if content is supplied upon initial order. Modifications or updates to the content can be made by either Regional office or client through editing software, or Gogiro if requested by regional office. If content is not supplied during intial order, additional hourly fees may apply to add content in the future. Client / Regional office is responsible for providing website content, and will hold Gogiro Corporate harmless of any liabilities arising from such content. Subscription billing starts when the order first is in ‘Awaiting Approval’ stage, or 2 weeks after the order is received by Gogiro Corporate in case of incomplete materials submitted, whichever is sooner. Setup fees are billed as soon as the order is received by Gogiro Corporate. Websites must have an indiscrete Gogiro Footer link at the bottom. Gogiro will not register domain names for websites, either client can supply or Regional office is equipped to register on clients behalf. [/list]


FEATURES DEFINITION

Website Editor – Easy to use site editor, login anytime to change text or make simple site updates.

Subscription Billing – Website uses a lease concept, $25 /month plus initial $250 template setup fee. Refresh your business look / change the design of the website anytime to a new template for additional setup fee.

Templates – Quality, templates available for each business category. Templates can be modified to suit the clients business; basic colour scheme, layout, photos, etc..

Personal Service – Clients work directly with either a Gogiro Affiliate, or a Local Office. Clients have someone close they can call on for help, someone they eventually get to know and trust.

Email / Webmail – Access to setup / manage emails, and choice to use webmail or download to Outlook.

Traffic Statistics – Access to view marketing stats for the website

Hosting – All hosting fees included.

REGIONAL OFFICE – SERVICE STEPS AND REQUIREMENTS

1) Ensure clients website meets requirements (see IMPORTANT NOTES, TERMS AND CONDITIONS above)

2) Gather website information
a) Template ID
b) Template Modification Notes

c) Page Names

d) Domain Registration Information

3) Work with client to collect site content, photos, and other relevant materials
4) Gather all required information from client and submit order to Corporate Office.

5) Work on behalf of clients with Gogiro corporate on approvals, changes, etc..

*The minimum requirements for Gogiro to post a website online is customer info, template id, page names, and the domain name. Cases like this may occur where client wants site up with no info, or coming soon, or will enter content on their own.
